Most first-passport applications fail because of one invisible 72-hour window most people don't know about. We close that gap — and handle the entire lodgement so nothing goes wrong.

Do not go to a passport office straight after your ceremony

The DHA–APO database sync takes 24–72 hours. If you apply before it completes, the system cannot find your record and your application is rejected on the spot. We monitor the sync and tell you exactly when to move.

The Most Important Thing to Know

The 72-Hour Rule.
Why Most First Passports Fail.

What Happens Between Your Ceremony and Your Passport

The Problem

After your citizenship ceremony, DHA updates its records and must sync them to the Australian Passport Office (APO) database. This sync takes between 24 and 72 hours. If you apply for your passport before the sync completes, the APO system cannot find your citizenship record — and your application is rejected on the spot. Most people find this out the hard way.

What We Do

We monitor the DHA–APO database sync on your behalf. The moment your record appears in the APO system — typically 48–72 hours after your ceremony — we contact you and immediately prepare your complete, compliant passport application for lodgement. You don't guess. You don't wait at an office. We tell you exactly when to move and handle everything.

How We Do It

From Ceremony
to Passport — 5 Steps.

1

Contact Us After Your Ceremony

The moment your ceremony ends, message us. We begin monitoring the DHA–APO database sync immediately. Do not go to any passport office or post office until we confirm your record has synced.

Do not go to passport office yet
2

We Confirm Your Record Is Live

We monitor the APO system and contact you the moment your citizenship record is confirmed — typically 48–72 hours after your ceremony. This is the signal to proceed. Not before.

3

Photos & Documents Prepared

We check your passport photos against APO's strict specification — wrong background colour, wrong size, wrong expression or glasses all cause rejection. We arrange compliant photos and review every supporting document before anything is submitted.

Most DIY photos are rejected
4

Application Lodgement

We complete Form B2, coordinate your identity referee, and submit your complete, compliant application. For express or emergency cases, we attend the passport office with you in person.

We lodge — you don't queue

Tracking & Delivery

We track your application through the APO system and confirm delivery. Standard passports arrive by registered mail within 10–20 business days. Express and emergency passports can be collected in person.

What You Need

Document Checklist.

Australian Citizenship Certificate

Issued at your ceremony. Primary identity document for your passport application. Keep the original — it cannot easily be replaced and certified copies are not accepted for first passport lodgement.

Current or Most Recent Overseas Passport

Used as supporting identity alongside your citizenship certificate. Even expired passports are acceptable for identity purposes at the APO counter.

Compliant Passport Photos × 2

35×45mm, plain white or off-white background only, taken within the last 6 months, no glasses, neutral expression, mouth closed. We arrange these — most chemist and DIY photos fail APO's strict specification.

Completed Form B2

Australian Passport Application form. One section must be signed and certified by your identity referee — an Australian citizen who has known you for 12+ months and holds an approved occupation.

Identity Referee Details

An Australian citizen aged 18+ who has known you personally for at least 12 months. They must hold an approved occupation (doctor, teacher, accountant, lawyer, engineer, etc.) and must not be related to you.

Payment

Adult passport (10-year) current fee applies — check the APO website for the current rate at time of application. Payment is made at lodgement. We confirm the current fee before you attend.

Travel Documentation (Express/Emergency Only)

For express or emergency processing, a confirmed flight itinerary showing departure within the required timeframe is mandatory. Unconfirmed bookings are not accepted by APO.

✓ No Overseas Passport?

If you don't have an overseas passport — lost, never had one, or expired many years ago — alternative identity documents apply. Contact us before assuming you can't apply. We have helped clients in exactly this situation.

Common Questions

Passport FAQs.

Yes — Australia Post outlets are the main lodgement point for standard passport applications. However, you still need to wait for the DHA–APO database sync (48–72 hours post-ceremony) before attending. Express and emergency applications must be lodged at a dedicated Australian Passport Office, not a post office. We advise on which location is right for your situation.

Standard processing is 10–20 business days (approximately 2–4 weeks) from lodgement. This does not include the 48–72 hour post-ceremony sync period. Express applications for confirmed travel within 3–4 weeks are typically processed in 3–5 business days. Emergency same-day lodgement for travel within 10 days produces a passport in 3–5 business days at the passport office.

APO's photo specification is strict: 35×45mm, plain white or off-white background, taken within 6 months, no glasses, neutral expression, no shadows. Most chemist and DIY photos fail on background colour or size. If photos are rejected at lodgement, your application is delayed and you must re-book. We arrange compliant photos before every lodgement — this is one of the most common reasons we're called after a rejection.

Contact us immediately — right now, today. Emergency same-day passport lodgement is available but requires advance coordination, a confirmed flight itinerary, and attendance at a major passport office. We have managed many of these cases successfully, but time matters — every hour counts. Do not wait to see if the sync has completed and do not go to a post office for this situation.

No — you do not surrender your overseas passport when applying for an Australian passport. You present it as supporting identity and it is returned to you. However, some countries do not allow dual passports and may require you to surrender your overseas passport to their consulate upon obtaining Australian citizenship. Check with your original country's consulate if you are unsure.

Your referee must be an Australian citizen aged 18 or over who has known you personally for at least 12 months, is not related to you, and holds one of APO's approved occupations. Approved occupations include: doctor, dentist, pharmacist, nurse, teacher, accountant, lawyer, engineer, police officer, social worker, bank manager, and others. We help you identify a suitable referee from your network if needed.
